PAIA manual

The Promotion of Access to Information Act (PAIA) gives people a way to request records a company holds. Section 51 says every private body must publish a manual explaining how. This is ours, for ONDEED (PTY) LTD, trading as Deed.
The company

Head of the private body: Marius du Toit, Director. Our Information Officer is the same person, reachable at hello@ondeed.co.za. PAIA requests, POPIA requests and privacy questions all go to that address.
The Regulator's guide
The Information Regulator publishes a guide (under section 10 of PAIA) on how to use the Act. You can get it from The Information Regulator (South Africa) at https://inforegulator.org.za, by email to enquiries@inforegulator.org.za, or at JD House, 27 Stiemens Street, Braamfontein, Johannesburg, 2001.
Records available without a request
Everything on ondeed.co.za, including our privacy page, our terms, our security page and this manual, is available freely and doesn't need a PAIA request.
If you're a Deed user, your own workspace data is available to you inside the product at any time, and you can export it or ask us for it without any formality.
Records we hold
Company records: statutory and CIPC records, financial and tax records, and agreements with suppliers and service providers.
Service records: user account details, and the workspace content our users load into Deed. We hold that content as an operator on our users' instructions, so a request for someone's client data usually belongs with the agent or agency concerned, not with us.
Operational records: security logs and audit trails that keep the service safe.
How to make a request
Send the Regulator's prescribed request form (Form 2, available at https://inforegulator.org.za) to hello@ondeed.co.za, describing the record clearly, the right you want to exercise or protect, and why the record is needed for it. We'll respond within 30 days as the Act requires.
The Act lets a private body charge prescribed fees for searching and reproducing records. Where a fee applies, we'll tell you the amount before doing the work.
A request can be refused on the grounds the Act sets out, for example to protect someone else's privacy or a third party's confidential information. If we refuse, we'll say which ground applies.
If we say no
If your request is refused and you believe it shouldn't have been, you can complain to The Information Regulator (South Africa), JD House, 27 Stiemens Street, Braamfontein, Johannesburg, 2001, or by email to POPIAComplaints@inforegulator.org.za, or apply to a court.
