Before you start

  • Maintenance in your rail: it shows for agents who work rentals, and for principals, managers and admins
  1. When a tenant reports a fault on WhatsApp, Deed opens a numbered job (like MNT-0007), rings your bell and drafts a short receipt for you to approve: “I've logged this as MNT-0007 and I'm arranging it now.” Nothing sends until you approve it.

A fault reported on a call or at the office? Press New job on Maintenance.

  2. Say what's wrong, how bad it is (Habitability, Urgent, Normal or Cosmetic), who reported it and which property, then press Log the job. The job is yours to work until you hand it on, and its page opens.

  3. Press Book it, pick a day and a window (morning, afternoon or any time that day) and press Book. Deed drafts the message to the tenant, and you approve it before it sends. Quotes and notes you add stay in the office; tenants never see them.

  4. Under Get it fixed, press Send to a contractor. Pick who's doing it from your team's list of service providers, or add them (they stay on the list for the next job), say how to get in, and press Make the link. Send on WhatsApp opens their chat with the link in it. The link is their page for this job, where they press I'm on my way, say they can't make it, or send The job is done with photos, and your bell rings each time. Take the link back ends it.

  5. When the contractor says it's done, the job asks you to check with the tenant. Press Close and ask Lerato and Deed drafts a message asking them to confirm it's fixed, for you to approve. Still broken? It's not fixed sends it back. Not a fault after all? Decline the job records why.
